A business letter is a letter written from one company to another company or such organizations and their customers, clients, or other external parties. The overall style of letter depends on the relationship between the parties concerned. This letter contains the legal communications necessary for the business organizations to communicate. It can also be used for communication between two different departments of the same business. 

How to write a business letter?

Writing business letters are very important. In businesses letters are very crucial for collaboration. A lot of professionals overlook this importance when writing letters as they think letters are outdated. As a result, most people don’t actually know how to write one. Here are mentioned some guidelines to write a business letter. Here is also attached a sample business letter for your help and ease. If you are new in business dealings and facing difficulty to draft a business letter, then these guidelines are written especially for you. 

  • Write the date and your recipient's name, company, and address.
  • Choose a professional greeting, like “Dear,”.
  • Craft a compelling introduction which states the purpose of the letter.
  • State your intent in the letter’s middle section.
  • Conclude the letter with a strong call-to-action.
  • Choose a professional closing, like “Sincerely,”.
  • Physically sign the letter with your signature and title.
  • Type your name, address, phone number, and email address.

Sample business letter:

Dear {{Name}},

Introduction – this is where you explain the purpose of the letter such as why you are writing it, what you hope to achieve from it, and any other important information you want to state upfront.

Middle Section – this is where you elaborate and provide more detail about what you outlined in the first paragraph. There may be several more paragraphs like this depending on how long the letter needs to be

Conclusion – this is the place where you wrap up and summarize things. There may be a call to action or next steps included in this paragraph.

There the three main styles of business letters: block, modified block, and semi-block styles. Each is written in much the same way with just slight differences in the layout.

What is Block Format?

The most common layout of a business letter is known as block format. Using this format, the entire letter is left justified and single spaced except for a double space between paragraphs. When writing block letters no lines are indented.

What is Modified Block Format?

Another commonly used letter format is known as the modified block format, in which the body of the letter and the sender's and recipient's addresses are left justified and single-spaced. However, the difference with a Block format, is that in Modified Block format, the date and closing, have a tab to the center point of the letter, and that is where you begin to type. It is more suitable to use this format on less formal occasions.

What is Semi-Block Format?

The last and less commonly used letter style is the Semi-Block format. It is like the modified block style except that each paragraph is indented instead of left-justified. Semi-block letters are like 'Modified block letters', with the exception the paragraphs are indented. Modified semi-block business letters are considered a little less formal than full block letters.
