How do I write a letter of authorization to collect a shipment?

If you need to provide an Authorization Letter to Pay Shipment to the shipper, to make sure you have a smooth import clearance, this is a good example. If you need to do the payment on behalf of someone else, this sample letter of authorization is enabling the beneficiary to give permission to the agent to import the products.

Enable an entrusted, and give them authority over the entrusted matters, including the verification of examination result, payment of duties/taxes/fees, claiming import goods, abandonment, recognition, receiving all the notifications and documents such as duty memo issued by your office, picking up the sample of goods, and the special mandate to process such matters as the shut-out and exportation of shut-out export goods as well as the claim of goods out of the warehouse.

If you are drafting an authorization letter to collect shipment on behalf of  another company, make sure to specify the following in your letter:

• ETD = estimated time of departure
• ETA POD = estimated time of arrival, Port of destination
• VSS = Vessel name
• B/L = Bill of lading number
• SHIPPER
• POD = Port of destination
• TYPE/QTY for example 3x 40HQ container
• Consignee = receiver of goods

In international trade, the final consignee can be different from the consignee mentioned in the original Bill of Lading. For example, if you work with an agent to import your goods into the country. This letter template is suitable if you need to authorize the bearer of the B/L or final receiver of the goods, who is different from the one mentioned in the final documents. Therefore, it's recommended to send copies of the B/L and Export/Import Declaration Form for reference of the shipping line.
