Overview
A letter of reference, also known as a written reference, may be requested when you're applying for a job. This means that the contact person of your former employer or educational institution will write a letter about you. This states, among other things, what your relationship was during the collaboration (for example, teacher-student) and how you functioned during that time.
How do you write a Reference letter sample?
Some important aspects are discussed in a reference letter. The letter should make clear who the writer is and what kind of relationship he or she has with the candidate. Only then can we go deeper into the reason why the candidate is suitable for the job. To build a good reference letter, it is best to stick to the following order:
- The relationship with the candidate. It goes without saying that you only write a reference letter if you really know the candidate in question. The reference letter outlines your relationship with the candidate, whether you are a supervisor, colleague, or teacher.
- The duration of the relationship with the candidate. A reference letter should describe the length of your relationship with the candidate, especially if you are a professional referee.
- The candidate's positive personality traits. The main purpose of a reference letter is to describe a candidate's good qualities. The qualities that you yourself have observed as a referent are especially important in this context. It is best to describe at least three positive qualities of a candidate, ranging from soft skills to technical skills. Keep in mind that potential employers are usually looking for flexible, dedicated employees with excellent communication skills.
- Specific examples. The mention of positive qualities about a candidate is important. However, you should also demonstrate these with specific examples, because additional details support the qualities of the candidate.
- Recommendation. Close the reference letter with a strong recommendation.
- Contact details. If you are not familiar with a candidate's potential employer, be sure to include your contact details: an email address and a personal phone number will suffice. It is not necessary to state your work address. Are you sending an email directly to the candidate's potential future employer? Then include your contact details in the text. Using email is a convenient and quick way to contact the candidate's hiring manager or prospective supervisor.
What is an appropriate tone for a reference letter?
The tone of a reference letter is important to introduce an applicant. A professional style and approach can certainly help the candidate rise above other applicants. When writing a good letter of recommendation, you should pay attention to the following points:
- Have a positive tone. When writing a letter of recommendation, be realistic. This type of letter is intended to emphasize the positive qualities of the candidate. This means that mentioning personal or professional shortcomings does not belong in a reference letter.
- Keep your information concise. Perhaps you would like to explain all the positive qualities of your candidate. Sometimes a long epistle does not provide concrete information. Limit yourself to the subject and avoid long, complicated sentences.

Dear Mr. Name Receiver, To Whom It May Concern,
I confirm that Name was employed as a Job Position with Organization from Date to Date
Name readily fulfilled his responsibilities of making sales calls, following up on orders, and participating in sales meetings. He/She learned about new products quickly. Name’s sales team has met its sales quotas for the past number of years.
The name was a team player and easily got along with the other people in the office. He/She also held an acceptable attendance record.
I would recommend Name Terrific to whichever position He/She might be applying for. If you need further information, you can contact me at the phone number or email: email.
