Since a project is basically a piece of planned work that has to be completed over a period of time and intended to achieve a particular aim, working with a structured approach, to optimize the use of resources in order to achieve the goals is important. When an organization is working on various projects, and every project is unique, multiple teams can be made to achieve higher levels of consistency in processes and to meet deadlines effectively and efficiently. In the initial stage of a project, it's common to write a proposal and therefore it's useful to have a checklist available to see if you included all important topics.

How do you use a Request For Proposal?

A proposal should cover all the important activities to successfully deliver a project. Make sure the proposal has a clear beginning and an end. There can be different types of project proposals. The term Proposal in Project Management refers to a document that identifies the strategy, tactics, and operational activities to do the project and how to achieve the project goals. A Proposal for example could include the following:

 While drafting an RFP it's important to ensure the deliverables, which are expected to be on time, according to budgeted resources, quality requirements, and within scope. When writing a request for proposal, consider the following general items:

  • Acknowledgment to submit proposal sent;
  • Quality requirements;
  • Quantity of items;
  • Delivery time;
  • Payment Currency (as required by Client)
  • Payment terms for lump-sum or reimbursable Price
  • Conditions of Contract reviewed/incorporated in a proposal (if received from Client)
  • Attachments, like Designs, NDA's, etc.

In general, a Purchase Manager is responsible for writing the proposal, which is based on input from finance, marketing, technical/R&D, etc., or is heavily involved in incorporating the right knowledge. The following RFP message can be useful:

Dear {{Name}}, 

You have submitted to me a proposal about a {{number of days}} ago which has been received by my {{position}}. It was given to me in time, but it took me some time to study it in detail. I understand that you want a reply to your proposal as soon as possible.

I am writing to give you my affirmative answer to your offer. There are some things in the proposal that needs further clarifications, but I think they will all be cleared up once we have our first meeting concerning it.

I will leave the decision on the time and place of our discussion to you. But I find your proposal to be of great interest. Do not be hesitant to tell me what is on your mind, as it will facilitate further understanding between us.
