A business letter is a commitment letter between two companies. It is sent to one firm from another firm. The purpose of this letter is professional correspondence regarding the work between the individuals, employees, business clients, and stakeholders. If you want to grow up your business or sell your product you can invite other companies or firms by business letter to come and attend the events organized by your company

What is business letter format?

The following information must be present in the business letter.

  1. Senders’ information: write the complete address, email, and contact number for future contact and easy correspondence. You can also add the letterhead of your company
  2. Date: Mention the entire date, do not use code words or abbreviations e.g., October 19, 2021. If you are sending the business letter to Australia or U.K, write the date before mentioning the month e.g., 19 October 2021.
  3. Recipient’s Address: write the complete address of where the letter will be sent. Write the complete name, contact number, and exact address, so that the letter reaches the exact destination. 
  4. The Salutation: use the greeting words depending upon how well you know the other person. If you know the person very well, address them with their first name in the salutation e.g., Dear Angela. If you don’t know the person well, address them with their last name and personal title e.g., Dear Taylor White.
  5. The body: It should be very precise and must address the clear purpose of the business letter. 
  6. Closing: Mention that you can be easily contacted if the recipient has any queries or questions regarding the matter. It should not very lengthy. At the end add a short formal closing remark by adding sincerely, or respectfully. 
  7. Signature: sign the letter at the end by adding your signature below your full name.
