- Determine the facts behind the dismissal. There are two reasons why an employee leaves the company. The first is a voluntary resignation. There can be several reasons why an employee will voluntarily terminate their employment. Other times, the individual's employment is terminated by the company. When this happens, the reason for this decision must be established. This way you can properly prepare the resignation letter.
- Contact your company's legal department. Some employee layoffs result in lawsuits. This is usually the employer's fault for not following the law. This can be easily remedied by consulting a lawyer before firing an employee. These professionals can instruct you on the laws behind the dismissal of an employee.
- If possible, be specific about the reasons for dismissal. When writing a resignation letter, you want to remain objective and professional. But don't forget how important it is to consider the feelings of the recipient of the termination letter. If you can be specific about the reasons why the employee is being fired, state them briefly in your letter of resignation. If you were fired, wouldn't you want to know why? You don't have to go into incredibly specific details, but locate the violation of office policy, job evaluation, or other condition that led to the dismissal where appropriate. Again, it may sometimes be required that you include this information in your letter.
- Be concise. A letter of resignation, like most business correspondence, is best if it is concise. Include all the information you need along with a short personal statement. An example of this would be a line such as "Let us know if you would like a reference letter" if applicable. And then close the letter.
