Overview
Rejecting a job offer can be done for many reasons. The pay may not be enough or it's less than what you were previously earning. You may not like the company or don't really like the people who you would be working for. These are valid reasons to decline a job offer. You are always entitled to that, but make sure the letter is kind and appreciative.
How do you write a rejection letter for internship?
You were offered an internship, but you cannot accept it. Maybe another opportunity presents itself, or your schedule doesn't allow you to take on more responsibilities. While this is unfortunate, the good news is that you can decline the offer without damaging your professional reputation. If you decide to decline a job offer, expect the employer's response. If it's difficult to fill an internship due to substandard hours and unreasonable expectations, chances are you're not the first student to decline the offer. On the other hand, if internships are hot and you're selected from dozens of applicants, employers may be confused. Choose what to share carefully and maintain a professional tone. For example, don't say that a more reputable company means a better job. Reasons for cancellation of internships may include changes in course load or schedule, additional family commitments, and unforeseen transportation issues. When students find a position that better matches their career goals, they often turn down internships, which is the point of internships. Before sending a declination of the offer letter, make sure you are positive you do not want the job. If a scenario exists wherein you might take the job (such as a pay increase or other changes in the benefits package), first try to negotiate a counter offer. Once you send a rejection letter, there is almost no chance you will be offered the job again.
The reality is that employers know that candidates may not accept job offers, even if they've worked hard to apply. If you still feel bad, think of it this way: Just as hiring managers reject applicants, job seekers have the right to reject job offers.
You can find sample rejection letters for job offers on sites like Getting You Hired. Your letter or email should explain your sudden change of mind. Employers shouldn't be clueless as to why you suddenly decided you didn't want the job after spending a lot of time applying and going to interviews.
Reasons for rejection job offer, for example, due to:
Personal reasons;
- Health issues;
- Salary too low;
- To long commute;
- Illness;
- A better offer.
Address the letter to the person who offered you the position. Include your contact information and phone number, even though it is on file with the employer. There's no need to give extensive details as to why you're declining the job. Do not include any potentially offensive reasons, such as a poor work environment or feeling uncertain about the company's long-term future and profitability. However, it is appropriate to briefly mention a reason for turning the job down. For example, you might explain that you accepted another offer, decided it was best to stay at your current job, or felt that the position didn’t ultimately match your career goals. Whatever the case, keep your explanation brief.
