Employees are informed by a job rejection letter that they have not been selected for a particular position. A rejection letter provides them with this information in a formal and respectful manner, allowing them to continue their search for work. In addition to being known as rejection letters for employment, they are also used to reject job candidates.

What should be included in an employer rejection letter?

The correct way to write a polite rejection letter:

  • Make sure the name of the receiver is correct and candidates should be addressed by their full names.
  • Thank them for their interest in the organization and for taking the time to send in a proper job application letter.
  • Your application number should be listed.
  • Your decision not to hire the candidate should be made clear.
  • Good luck to them as they search for a job.

Here are some examples of generic rejection letters for employers:

A sample rejection letter is provided below that can be downloaded and used after making modifications based on your criteria and requirements. A sample rejection letter will also be provided to you after certain edits are made, so you can use it as a reference:

Dear Sir/Madam {{Name}},

Thank you for taking the time to interview for the position of {{Position}}. We appreciated the opportunity to discuss the requirements of the position and learn more about your qualifications. It is always difficult to choose among the many qualified applicants whom we interview. However, we regret to inform you, after careful consideration, we have selected a candidate that more closely matches our requirements for this position. We will keep your resume/application on file for one year, should another position become available. Thank you again for your interest in {{Company Name}}. We wish you every success in your career pursuits.

Yours sincerely,
